Turning emailed purchase orders into factory work orders, automatically

Before

A plastics manufacturer was running all order intake by hand. Customer POs arrived as emails with PDF attachments. An admin read each one, looked up the product codes, calculated material quantities and packaging, then hand-typed everything into two separate Excel templates — an Office Order and a Works Order — before the factory could start the job. Orders waited on admin capacity. More orders meant a bigger queue, not a faster line.

What we built

A tool that reads incoming POs automatically. It extracts the order details, matches them against the client's internal product catalogue, and fills in both Excel templates ready for the factory floor. Admins now only review the lines the tool flags as uncertain, instead of typing every order from scratch.

The result

Processing time per PO down by roughly 80%. Works orders reach the factory floor in minutes instead of sitting in an admin queue. The same admin team handles the same volume with room to spare — their job shifted from data entry to exception handling.
